Step 1: Define the product range before asking for prices
Quotes are only comparable when the specifications are identical. Before contacting factories, fix these details: bed type (single, double-decker, triple), target load capacity, colour, packaging style, and whether you need certification for your market. A buyer who asks for "heavy-duty metal bunk beds" will get five different offers; a buyer who specifies tube wall thickness, load rating, and finish will get five comparable ones.

Step 2: Confirm MOQ and how pricing tiers work
Ask three questions about MOQ, not one. First, the minimum per model - our minimum order quantity is 50 pieces per model. Second, whether models can be mixed in one container - we allow mixed models and mixed-container orders, which matters if you want to test several bed types without committing a full container to one SKU. Third, whether the quoted price changes with volume, and at what breakpoints.

Step 3: Verify quality with evidence, not promises
Three forms of evidence are worth requesting: test reports, production photos, and a sample. For load capacity, ask whether the figure comes from a documented test or a catalogue claim - our bunk beds are SGS-tested to 200 kg per bunk, and test documentation is available on request. For European markets, check whether the frame is designed against EN 747 and related standards.
One practical tip: review a pre-production sample against your written spec, not against a photo. Photos hide tube thickness and weld quality; a sample does not.
Step 4: Lock trade terms, payment and lead time
Standard practice for a first order is 30% deposit by T/T and 70% balance against the copy of the bill of lading. Confirm the lead time from deposit to ex-factory - our standard production time is 20-25 days - and agree what happens if inspection fails. Distributors buying for a season should count backwards from their shelf date and add four weeks of shipping buffer.
Step 5: Plan the container, not just the order
Metal beds are volume-heavy, flat-pack products, so container utilisation drives your landed cost per unit. Ask the factory for carton dimensions and stackability per model, and confirm who designs the loading plan. When you combine bed models - or add shelving and cabinets - request the loading calculation before the deposit, not after. Step 6: Agree on after-sales and spare parts
Bulk buyers get returns in bulk. Before signing, confirm the warranty period (five years on our frames), what counts as a defect versus transport damage, and whether spare parts - bolts, connectors, slats - ship with the container. A carton of assorted hardware costs almost nothing inside a full container and saves months of email later.
Common mistakes first-time wholesale buyers make
- Comparing quotes with different tube specifications - the cheapest quote is usually the thinnest tube.
- Ignoring carton quality. A bed that survives the factory but arrives dented was packaged wrong.
- Not reserving spare parts space in the container.
- Ordering one model in high volume before the market has confirmed demand - with a 50-piece MOQ, testing two or three models first costs little more.
